About the Talent Acquisition Specialist role
A Talent Acquisition Specialist owns how a company finds and wins talent, with a longer-term lens than day-to-day vacancy filling. They build sourcing strategies and talent pipelines, strengthen the employer brand, and design selection processes that predict on-the-job success.
The role overlaps with recruiting but leans strategic: workforce planning with leadership, mapping talent markets before roles open, nurturing passive candidates, and measuring funnel health. In many organizations, the specialist also trains hiring managers on structured interviewing and owns the candidate experience end to end.
In your posting, spell out the functions they will hire for, expected hiring volume, and how much of the role is strategy versus execution. Specialists with genuine pipeline-building experience will want to know they are not stepping into a purely reactive recruiting role.

Job brief
Our headcount plan for the next two years is ambitious, and filling roles reactively will not get us there. That is why we are adding a Talent Acquisition Specialist who thinks in pipelines, not postings. You will partner with department leads to understand where the team is heading, map the external talent market before requisitions open, and build relationships with strong candidates months ahead of need. On the execution side, you will run structured, fair selection processes and keep our recruiting data clean enough to trust.
This role suits someone who treats sourcing as a craft, backs opinions with funnel metrics, and cares as much about the candidate's experience as the hiring manager's timeline.
Responsibilities
- Partner with hiring managers to define what each open role really requires and turn headcount plans into concrete search strategies
- Project future hiring demand across departments and prepare pipelines before requisitions open
- Find and engage passive candidates across professional networks, communities, resume databases, and referral programs
- Build and maintain warm talent pools for recurring and hard-to-fill positions
- Design each hiring process end to end: screening calls, skills assessments, structured interviews, and final evaluations
- Review applications and manage candidate records and pipeline stages inside the applicant tracking system
- Define selection criteria with hiring teams and coach interviewers on structured, bias-aware evaluation
- Own the candidate experience from first touch to offer, making every interaction reflect the employer brand
- Represent the company at job fairs, meetups, university events, and industry gatherings
- Monitor funnel metrics such as source effectiveness, stage conversion, and time to fill, and act on what the data shows
- Stay in touch with silver-medal candidates and past applicants so strong people return when the right role opens
Requirements and skills
- Demonstrated background in talent acquisition or full-cycle recruiting
- Sourcing skills that go beyond job postings: boolean search, professional networks, communities, and referral activation
- Experience running complete hiring processes with multiple interview formats and evaluation approaches
- Working knowledge of applicant tracking systems and comfort with recruiting analytics
- Grounding in structured interviewing and fair, consistent selection practices
- Strong communicator, both on calls with candidates and in written outreach that gets replies
- Able to grasp quickly how roles across the company differ in skills, seniority, and hiring market conditions
- Degree in Human Resources or a related field, or equivalent practical experience
Nice to have
- Recruiting depth in the functions you will own, such as engineering, sales, or operations
- Hands-on employer branding work, from careers page content to campaign execution
- Experience rolling out structured interviews or training interview panels
- Familiarity with talent market mapping and compensation benchmarking
