Dispatcher Job Description

The plan made at seven in the morning rarely survives to noon. A vehicle breaks down, a customer moves an appointment, traffic closes a route, and somebody has to rebuild the day while every person affected wants to know what is happening. That rebuilding, done calmly and repeatedly, is the actual job.

The draft below covers scheduling, assignment, routing, and tracking. Before you edit, name exactly what moves: loads, vans, engineers on call, or emergency crews. Each runs at a different pace under different rules, and haulage in particular adds legal driving limits that a candidate either knows already or does not.

State which system the work happens in, how many vehicles or people are being coordinated, and which hours the rota covers. Then say whether inbound customer calls and billing paperwork land here too, because both change the workload substantially. The generator below can produce a freight, delivery, or field service version of the description.

About the Dispatcher role

A Dispatcher is the coordination hub between customers, drivers or field technicians, and the operation behind them. They schedule jobs, assign the right person and vehicle to each one, plan routes, and track progress throughout the day. When a truck breaks down, a customer changes an appointment, or traffic wrecks the plan, the dispatcher reshuffles everything in real time and keeps everyone informed.

The job rewards calm multitaskers. Strong dispatchers work several phone lines, a radio, and dispatch software at once while keeping records accurate for billing and compliance. In trucking operations they also watch hours-of-service limits so drivers stay legal; in service businesses they balance technician skills, parts availability, and promised time windows. Their decisions directly drive on-time performance, fuel costs, and customer satisfaction.

In your posting, be specific about what is being dispatched: freight, delivery vehicles, service technicians, or emergency crews, since each demands different knowledge and pacing. Name your dispatch or TMS software, the size of the fleet or team the role coordinates, the shift schedule including nights or weekends, and whether the dispatcher also handles inbound customer calls and billing paperwork.
